PRIVACY & DATA

Actify privacy policy

This notice explains how Actify, operated by Ahmed Nadir, processes information when you use the Actify meeting and decision management app and website.

Last updated: November 5, 2026

Information we process

  • Account and workspace details, such as your email address, display name, sign-in identifier, group membership, and role.
  • Content you choose to add: meeting titles and notes, decisions, action items, comments, transcripts, recordings, and attachments.
  • Feature activity needed to operate the service, which can include content-view events, timestamps, duration, and the Firebase Cloud Messaging registration token linked to your account for requested notifications.
  • Subscription and entitlement information, such as product, purchase, and subscription status identifiers. Google Play processes payment card details for Play purchases; Actify uses purchase information to verify access.

How we use information

We use information to provide sign-in, organize meetings and decisions, sync your chosen storage, support collaboration and search, send requested notifications, verify subscriptions, protect the service, and answer support or privacy requests.

If you use transcription, summaries, or other AI features, the related audio or meeting content may be processed by the provider configured for that feature. Depending on the feature and service configuration, providers can include Google Gemini, OpenAI, or Deepgram. Do not submit information you are not authorized to share. Provider configuration, processing locations, and retention can vary.

Storage and sharing

Actify supports local, server, Google Drive, and combined storage options. The location depends on the mode selected by you or your workspace and on the feature being used. Google services may process sign-in, user-selected Drive files, Play subscription verification, or push notifications. For push notifications, Firebase Cloud Messaging may process a Firebase installation ID (FID), app version, and technical Firebase SDK metadata to route messages to an app installation. The FID is distinct from the FCM registration token that Actify links to your account. Meeting information you share with a group may be visible to its authorized members. We do not control copies that other members export or save.

We share information with service providers only as needed to operate the features described above, and where required by law or to protect the service. We do not publish your private meeting content on this website.

Retention and account deletion

We keep information for as long as needed to provide the service and handle security, subscription, and legal obligations. A complete retention schedule across server records, backups, Google Drive, and service providers has not yet been established; periods may therefore differ by data type and storage location.

When you log out, Actify attempts to remove the FCM token from this account and the app attempts to delete its messaging token from the device. This does not currently make or verify a Firebase installation ID deletion request. Firebase may retain its installation identifier under its own rules; see Firebase's privacy and security information for its retention and deletion process.

To request account deletion, use the in-app option if available or visit our separate account deletion page. The page opens an email request; it is submitted only when you send the message. We may ask you to verify account ownership. This request does not cancel a Google Play subscription. Shared group records, files copied to your device or personal Drive, certain purchase or security records, backups, and provider-held copies may not be removed by the same action. Contact us for the status and scope of a request.

Your choices and contact

You can contact us to ask about, access, correct, or request deletion of information associated with your account. Storage settings and feature choices control some processing. For privacy questions, contact Ahmed Nadir at actifyapplication@gmail.com.

This policy reflects the Actify features and information currently identified for review. Some production provider settings and data-retention details are still being verified. We will update this notice when those details are confirmed. This page is not a confirmation that every deletion or retention request has already been completed.
